Key Accountabilities: 

 

Role purpose: The AMM Registrar will play a key role working with the collections and on exhibitions, overseeing the management and documentation of all Art Mill Museum’s collections and acquisitions. This includes maintaining meticulous records of accession, cataloguing, condition, and object location. The Registrar is responsible for ensuring the comprehensive registration, documentation, transportation, storage, valuation and preservation of the museum's collections. Collaborating closely with the curatorial, conservation, and collections teams, this role requires the efficient handling of logistical and legal processes related to acquisitions, loans, and exhibitions.

Duties and responsibilities:

Collections Management:
• Oversee and maintain detailed records of the Art Mill Museum’s collections and all acquisitions in the Collections Management System (EMU).
• Ensure proper documentation, condition reporting, and cataloging of all items in the museum’s collection.
• Coordinate storage solutions to ensure the safety, preservation, and accessibility of the collection.
• Liaise with all other QM entities and particularly General Collection.

Acquisitions and Loans:
• Facilitate the acquisition process by coordinating contracts, transport, and insurance in consultation with the Head of Collection Administration and Commissions.
• Manage the documentation and logistical arrangements for incoming and outgoing loans.
• Prepare and track loan agreements and associated paperwork.
Transportation and Logistics:
• Organize the shipment of artworks, ensuring compliance with international standards and regulations.
• Liaise with shipping companies, customs brokers, and insurers for the safe transportation of art.
• Monitor and coordinate the movement of artworks for exhibitions, storage, or conservation. 

Exhibitions:
• Collaborate with curators and exhibition teams to manage the logistics of artworks for displays and installations. Liaise very specifically with the Senior Exhibitions Project Manager and follow their directives.
• Ensure all necessary permits and documentation are in place for exhibitions.
• Prepare packing, unpacking, and installation schedules for exhibitions and events.
• Adapt to different exhibition venues in QM venues or abroad.

Administrative and Legal Compliance:
• Maintain up-to-date records of ownership, provenance, and legal documentation for the collection.
• Ensure compliance with all applicable regulations, including CITES permits, export/import licenses, and copyright clearances.
• Develop and oversee collection-related policies and procedures.
• Work closely with the EMU team on the collection database and its constant development. Work on all other QM databases or digital storage systems, such as DAMS or Symphony.

Reporting and Coordination:
• Provide regular reports to the Head of Collection Administration and Commissions regarding the status of the collection, and to the Senior Exhibitions Project Manager regarding exhibitions.
• Liaise with internal and external stakeholders to coordinate collection-related activities.
• Work closely with conservators, curators, and other museum staff to ensure the collection’s long-term care and accessibility.

 

Qualifications/Requirements: 

 

 

  • BA/MA in Museum Management Studies, Museum Studies, Art History, or related fields.
  • Minimum of 3 years of working experience in museum collection documentation or related roles.
  • In-depth understanding of museum registration practices and procedures.
  • Practical and theoretical knowledge in collection care and management.
  • Experience with Collection Management Systems, preferably KeEMu.
  • Knowledge of art handling, shipping, and preventive conservation standards.
  • Knowledge of legal aspects of art acquisitions, copyright, and loan agreements.
  • Understanding of time-based conservation and collection care.
  • Effective written and verbal communication skills in English. Knowledge of Arabic is an asset but not compulsory.
  • Demonstrated strength in coordinating and working with teams collaboratively on complex projects.
  • Strong organizational and multitasking skills with attention to detail.
  • Strong computer and software skills are essential, preferably within a PC environment (Office 365)
